Managing Services

The Service feature addresses the critical need for transparency and accessibility in healthcare. By allowing healthcare providers and enterprises to directly create and list their services, AENTE empowers patients with detailed information about service duration, location availability, associated charges, and provider credentials. This level of transparency helps patients make informed decisions about their healthcare and enables providers and enterprises to efficiently manage their services.

The result is a more connected and efficient healthcare ecosystem, where patients can easily find and book the exact medical service they need, while providers can reach a broader audience and manage their practice more effectively.

Creating a Service - Procedure

To start creating a procedure-type service, certain prerequisites must be met, as outlined below:

  1. You must have a provider account.
  2. Your account must have previously created workflows, and you must have access to view them.
  3. Your account must have previously created and configured procedures.
  4. Your account must have properly configured locations with associated providers.
  5. Your provider account must be assigned a role with the appropriate permissions for Creating Service, including the following:

  1. Service Get All/Get Self
  2. Service Create
  3. Service Show
  4. Service Update / Update All
  5. Service Workflow Get list
  6. Form Category Get All
  7. Service Additional Create
  8. Service Additional Get All / Get Self
  9. Service Additional Update/Update All

After ensuring all the necessary configurations, you can follow these steps to create a Service:

  1. Click on the module labeled ‘Operational’.
  2. Select the resource called ‘Services’.
  3. After accessing the resource, click on the blue button highlighted with the + symbol.
  4. Fill in the Name field with the appropriate information.

Note: The service name must be unique and not duplicate an existing service name.

  1. Click on the Public Service field and select one of the available options.

Note: You cannot choose a public service that is already in use by another service.

  1. Click on the Type field and select the Procedure option from the available choices.

Note: The selected type will directly affect the service. Procedure-type services focus on routine consultations between the provider and client, where sample collection is usually not required. In contrast, exam-type services are for cases requiring patient sample collection for future examination.

  1. Click on the Workflow field and select one of the available workflows from the list.

Note: Choose a procedure-type workflow to ensure compliance with business rules and enable functionalities like Teleconsultation for the service.

  1. Fill in the Price field with the amount the client will pay for the service.
  2. Click on the Primary Procedure field and select the desired procedure.

Note: This selection determines which questions will appear on the EMR form that the provider will be required to complete. For more information on the procedures, please visit the manual: Procedures

  1. Fill in the Duration field with the time required to complete the service. This will directly impact the available appointment slots shown to clients.

Example: If a service lasts 1 hour and your account’s business hours start at 09:00 AM, the available appointment slots will be displayed as follows:
09:00 AM - 10:00 AM | 10:00 AM - 11:00 AM … and so on.

  1. Fill in the Tags field with keywords related to the service that can be used in searches.
  2. Select a Service Category from the available options.

Note: This selection is crucial as it helps users find the service during appointment booking.

  1. In this initial stage, also pay attention to the fields “Does this service require patient intake?” and “Will teleconsultation be available for this service?”

Note:

  • If you want clients to complete screening questions, enable “Does this service require patient intake?” and choose the appropriate form.
  • If you want the appointment to be available remotely, enable “Will teleconsultation be available for this service?”
  1. After deciding on the above options, click on the Locations tab.
  2. Select the location where the service will be provided.

Note: Be mindful of location rules. If your residence country differs from the location’s country, it will not be available for selection.

Example: If you live in the United States and the location is in Canada, it will not appear in the list.

  1. After selecting the location, click on the Provider tab.
  2. Select the provider(s) from your account responsible for the service.
  3. After completing all the previous steps, click on Create Service to finalize the service creation.
  4. Done! The service is now created and available for scheduling. However, additional configurations can be made in the Countries, Terms, and Additionals tabs.

Note:

  • In the Countries tab, configure which countries the service will be available in.
  • In the Terms tab, enable users to sign service-specific terms and conditions electronically.

Editing a Service - Procedure

To start editing a service, certain prerequisites must be met:

  1. You must have a provider account.
  2. Your account must have previously created services.
  3. Your provider account must be assigned a role with the appropriate permissions to edit a service, including:

  1. Service Get All/Get Self
  2. Service Show
  3. Service Update / Update All
  4. Service Workflow Get list
  5. Form Category Get All / Get Self
  6. Service Additional Create
  7. Service Additional Get All / Get Self
  8. Service Additional Update/Update All

After ensuring all the necessary configurations, follow these steps:

  1. Click on the module labeled ‘Operational’.
  2. Select the resource called ‘Services’.
  3. Search for the service name you wish to modify.
  4. From the returned options, select the desired one.
  5. Done! If all prerequisites are met, you can edit any aspect of the service, including the Countries, Terms, and Additionals tabs.
  6. After making the desired changes, click on Update Service.

Deleting a Service - Procedure

Note: Nothing is deleted from the system and everything that is “deleted” is actually a status change. Once an item has been deleted you may recover and change the status back to active.

To delete a service, certain prerequisites must be met:

  1. You must have a provider account.
  2. Your account must have previously created services.
  3. Your provider account must be assigned a role with the appropriate permissions to delete a service, including the permissions listed above.

After ensuring all necessary configurations, follow these steps:

  1. Click on the module labeled ‘Operational’.
  2. Select the resource called ‘Services’.
  3. Search for the service name you wish to delete.
  4. From the returned options, select the desired one.
  5. Click on Delete Service.

Note: Deleted services can no longer be scheduled, and all pending appointments will be canceled. However, approved appointments will remain unchanged.
